TAMA-TOLEDO FOOD VENDOR INFORMATION
Thank you for expressing interest in being a food vendor for RAGBRAI®. This cover letter is designed to answer some of your questions and assist you in filling out the application. We are very excited about RAGBRAI® coming to our community on July 23, 2008. We are expecting between 15,000 to 20,000 RAGBRAI® participants to spend the night. It is our job to feed all of the participants! This is not a small job and we need the help of many non-profit organizations and businesses.
We want every nonprofit organization and business to make money on this event and we want the money to stay here in our community.
LOCATIONS: The Main Entertainment and Beverage Garden will be located downtown Toledo around the Tama County Courthouse square. Food Vendors will be located in the downtown Toledo area; the main campground at the South Tama County High School and the second campground at the Toledo Heights Park on the west side of Toledo. We will work with all of the approved food vendors on selecting the best location. The food vending committee will provide a map of your location before July 21st.
PRICING: It will be up to each group to set their own prices. The RAGBRAI® officials recommend that a cheaper price be charged to RAGBRAI® participants with a wristband for food items. All registered RAGBRAI® participants will have a wristband. Please list your prices on the application.
FOOD SAFETY: Food safety is very important when you feed this many people. It is required that every food vendor attends a Food Safety Certification Class before they will receive approval. This requirement is also necessary for any group who serves at their own site (i.e. church). All food vendors will receive information on date and time for Food Safety Class. The Blackhawk County Food Inspection Division will inspect all food vendors on July 23rd.
INSURANCE: All vendors will be required to show proof of liability insurance of $1,000,000. See application for more information.
HOURS: RAGBRAI® participants will start arriving at noon. Most of the participants will arrive by 2:00 p.m. We are asking that you allow enough time to set up. We recommend all food vendors be set up by 10:00 am. This will allow enough time for Inspections and be ready to take care of the early participants. You should plan on being busy between 4:00 p.m. - 7:30 p.m. This is when most participants eat. RAGBRAI® officials recommend that food vendors plan on being open later to meet the needs of the participants. It is your decision on how long you plan to be open for business.
ELECTRICITY: Please list on the application if you will need electricity. We will schedule to have electricity run to your stand. There will be an additional $50 fee for electricity.
CLEAN UP: We ask that all food vendors clean up their areas before they leave. Large dumpsters will be located in close proximity of the vending area. If everyone pitches in and helps the clean up will go very smoothly. The committee recommends each food vendor schedule a clean up crew to help clean up their area. All food vendors will be required to be cleaned up by 2:00 a.m. July 24th. If a breakfast vendor clean up by 11:00 am July 24th.
SIGNAGE: The food vendors are responsible for their own signs at their booth. The committee recommends printing neat, easy to read signs including menu items and prices. The committee also recommends each vendor have a sign they can put up if and when they run out of food.
The food committee recommends each group project how much they plan to serve very carefully. We recommend you plan to sell all of the food you prepare. Any food left over cuts into your profits.
The food vendor committee wants this to be a great event for Tama and Toledo. The way this will happen is if every group comes together and works with the RAGBRAI® committee. The Health and Inspections Division will be monitoring all food vendors. If they find a group or organization set up selling food that has not met the requirements they will be shut down. We believe everyone can win, but only if there is good communication and everyone works together.
